OSAKA AIRTERMINAL HOTEL (the “Hotel”) stipulates, executes, and maintains the privacy policy (the “Policy”) as follows for the handling of personal information to comply with the Personal Information Protection Acts and systems applied to customers’ personal information, with the understanding that it is the Hotel’s social responsibility to understand the importance of personal information provided by its customers, etc. and to use and protect such personal information properly.

1. Application of the Policy

The Policy shall apply to personal information (and handling thereof) that World Air Passenger Service Co., Ltd. (“WAPS”) directly or indirectly obtains from customers in relation to the use of the Hotel operated by WAPS.

When you are subject to the EU General Data Protection Regulation 2016/679 (the "GDPR") and the UK Data Protection Act 2018 (the "DPA 2018"), and other national and international data protection and privacy laws and regulations of the European Economic Area (the “EEA”)and/or the UK (collectively, "Data Protection Acts") for reasons such as that you reside in the EEA and/or the UK, and if there is any discrepancy between the section “8. Application of the GDPR, etc.” and the rest of the provisions in the Policy, the provisions of “8. Application of the GDPR, etc.” shall take precedence.

2. Acquisition of personal information

  • The Hotel may request your personal information including your name, address, and contact information when you use the services of the Hotel.
    When the Hotel requests your personal information, the Hotel will notify you of or publicize the purpose of the use and acquire personal information to the extent necessary.

  • The Hotel may acquire your personal information by the following means when making transactions providing accommodation, food and beverages, goods and other ancillary products, services, and services on the website (“Transactions”).

  • The Hotel does not intentionally collect personal information from minors. If a minor has provided personal information of his/her family to the Hotel without the consent of a guardian, please contact the Customer Service of the Hotel that manages inquiries about personal information (refer to Section 9) and notify the situation. The Hotel will respond in good faith such as stopping the use of and deleting the said personal information.
    However, please be noted that if a minor would like to use the Hotel, the Hotel will manage the minor's personal information in accordance with the Policy.

3. Purpose of using personal information

  • 3-1. Purpose of using personal information
  • WAPS will only use your personal information within the scope of the purpose as notified or publicized and not beyond the scope of the purpose.

  • 3-2. WAPS’ purpose of use
  • Your personal information the Hotel acquires and keeps is used, in principle, for the following purposes:

    • 1) To provide services and products based on the Transactions, handle reservations, orders, use, and inquiries from customers, and execute rights and fulfill obligations related to other Transactions at the Hotel.
    • 2) To provide better services in response to individual requests from customers.
    • 3) To address feedback and requests from customers regarding communications about Transactions and services.
    • 4) To provide information and notifications about promotional campaigns the Hotel and Kansai Airports Group hold.
    • 5) To survey on the products and services provided by the Hotel and Kansai Airports Group.
    • 6) To improve the services based on customers’ needs, referring to the usage status of the services and products provided by the Hotel and customer satisfaction surveys.
    • 7) To use for advertising, publicity and marketing, including the development of products and services the Hotel provides, customer trend analyses, and market research.
    • 8) To contact customers for emergency.
    • 9) To manage customer information when and after transactions are cancelled.

  • 3-4. Suspension of use of personal information
  • If you would like the use, partially or wholly, of your personal information WAPS has obtained and maintains to be suspended, such as stopping direct mails or e-mails, please contact the Customer Service of the Hotel (refer to Section 9). The Hotel will accommodate your request in good faith.

4. Provision and shared use of personal information to third parties

  • 4-1. Provision to third parties
  • WAPS will not provide your personal information to a third party without your prior consent, except in the following cases or as otherwise stated in the Policy:

    • 1) when required by laws and regulations;
    • 2) when necessary to protect human life, body, or property but difficult to get your consent;
    • 3) when particularly necessary for better public health or the promotion of the sound development of children but difficult to obtain your consent; and
    • 4) when necessary to cooperate with a national institution, a local public entity, or an entity entrusted by them in implementing affairs stipulated by laws and regulations and when obtaining your consent could hinder the implementation of such affairs.
  • 4-2. Provision to outsourcees
  • When using your personal information, WAPS may outsource the handling of personal information to a third party within the scope of the notified and publicized purpose of use. Outsourcees are obliged to manage personal information as strictly as WAPS under necessary and appropriate supervision. Furthermore, an agreement on confidentiality management of personal information and supervision will be signed to manage personal information safely.

      information obtained directly from you including the information you registered or filled out to use the Hotel, information obtained from a person duly authorized by you, and information WAPS obtained (including access information WAPS got using technologies such as cookie, web beacon, and IDFA [Identifier For Advertisers] and information automatically captured by the Hotel’s systems)
    • - Purpose of use of the shared parties:

5. Handling of Personal Informatio

  • 5-1. Retaining accurate personal information
  • WAPS takes proper measures to keep your personal information accurate and up to date.

  • 5-2. Disclosure, correction, and suspension of the use of personal information
  • WAPS will set up Customer Service section as specified in Section 9 to respond in good faith and to the reasonable and necessary extent to your requests to disclose, correct, or suspend the use of your personal information it retains.

  • WAPS complies with the Personal Information Act, and other relevant laws, regulations and guidelines.

  • WAPS has formulated standards for appropriate acquisition, retention, use, and disposal of personal information as well as regulations on the handling of personal information, and a code of conduct and detailed rules to prevent unauthorized access, loss, destruction, falsification, and leakage to execute the said standards strictly.

  • WAPS strives to protect personal information by training its employees about protection of personal information so that all employees know the details of such training.

  • WAPS constantly reviews and improves its regulations on the handling of personal information and its organizational structure to execute them and maintain effective and proper operations.

7. Revision of the Privacy Policy

The provisions of the Policy are subject to change without prior notice. However, separate procedures will be taken if individual consent is required such as when revising the purpose of use.
The revised privacy policy shall take effect when it is posted on the Website unless otherwise set forth by WAPS.

8. Applications of the GDPR, etc.

  • 8-1. This article shall apply to the handling of personal information of customers who reside in the EEA and/or the UK, based on the Data Protection Acts. If there is any discrepancy between this article and other articles, this article shall take precedence.
  • 8-2. WAPS handles your personal information for the following purposes and based on the following legal grounds.
  • a. Log-in to the Hotel’s reservation page and the use of services at the Hotel

    • 1) To enable customers to log in to the Website, authenticate themselves on the log-in page, and to automatically display registration information.
    • 2) To manage customers’ membership of the Hotel.
    • 3) To make arrangements for accommodations reserved by phone, in writing, or in person using the Website and to deal with other sales activities.
    • 4) To make notifications necessary for the operations of the Hotel.
    • 5) To respond to inquiries, etc.
    • 6) To prevent, investigate, and identify potential frauds, cyberattacks, and other illegal or unauthorized acts in order to protect the rights and interests of WAPS, Kansai Airports Group, or third parties.

    • 2) To survey on the products and services provided by the Hotel and Kansai Airports Group.

    c. Use for better services toward the future Legal grounds: use under condition of customers’ consent
    Applicable personal information: date of birth, telephone number, gender, other information related to the use of the Hotel, information WAPS obtained (including access information WAPS has obtained using technologies such as cookie, web beacon, or IDFA), and information automatically captured by the Hotel’s systems

    • 1) To survey and analyze marketing data.
    • 2) To develop new services and products, etc. for the Hotel and Kansai Airports Group.
  • 8-3. WAPS retains your personal information only for the duration necessary to fulfill the purposes described in the Policy and keep and use your personal information to the extent necessary for compliance with legal obligations.
  • 8-4. Rights, etc. of customers
  • a. You may exercise the following rights in relation to the personal information WAPS holds, within the scope of applicable privacy laws and regulations:

    • - right to inquire about information related to the personal information (regarding the personal information WAPS holds and how it is used);
    • - right to request corrections of the personal information;
    • - right to be forgotten (right to request deletion of the personal information);
    • - right to request limitation on the processing of the personal information;
    • - right to object to the processing of the personal information;
    • - right to data portability (right to request transfer of the personal information to you or a third party);
    • - right to prevent the use of the personal information that may cause harm and/or damage to individuals; and
    • - right to be notified of any leak of the personal information at the risk of violation.

    c. You have the right to withdraw your consent any time if the use of your personal information is predicated on your consent. The withdrawal of your consent does not affect the legality of the processing of personal information that WAPS has implemented by the time the consent is withdrawn.

    d. You have the right to file a motion for complaint regarding the handling of personal information by WAPS to information protection authorities, including supervisory organizations in the country you reside, the country your workplace is in, or the country in which a violation took place.
